POSITION TITLE: Student Records Assistant Position Description: The Student Records Assistant is responsible for a variety of technical duties in the Office of the Registrar; performing specialized duties in one or more technical areas; providing information about the College to faculty, staff, students and the general public. RESPONSIBILITIES (non-inclusive): Manage and fulfill incoming requests for official Lakeland transcripts, providing system support and maintenance for the transcript ordering system. Record the receipt of all incoming high school transcripts in the CRM, Banner, and the document imaging service. Manage the registrar email account and call center, responding to inquiries in a professional and timely manner. Assist with the verification of student enrollment and earned credentials. Process returning student applications and transient forms for visiting students, updating student information in Banner, as needed. Manage the administration of residency procedures, determine the outcome of residency change request, and oversee record management related to students’ compliance with residency requirements in accordance with State and District policy, including students who are non-compliant with Selective Service. Record the receipt of all cross-registration requests from students attending other NOCHE institutions; maintain enrollment records of cross-registered students. Process student enrollment registrations in compliance with college policies; check registration forms for accuracy. Process student record changes including but not limited to name, address, and program of study changes. Assist Office of the Registrar in processing late withdrawal requests. Maintain confidentiality of student records (in compliance with the Family Educational Rights and Privacy Act). Perform related duties as assigned. QUALIFICATIONS: Education/Training and Experience Required/Preferred: An associate degree and two years of progressively responsible experience working in an educational setting with a diverse student population. An equivalent combination of education and experience which provides the knowledge, skills, and abilities required is acceptable. Demonstrate proficiency using of Microsoft Office programs, including Forms, Word, and Excel, PowerPoint. Knowledge, Skills and Abilities: Ability to maintain confidentiality; operate standard office equipment; perform routine and detailed tasks in an accurate and efficient manner; meet deadlines while managing multiple priorities. Dedicated commitment to customer service; team oriented; friendly and pleasant demeanor, calm under pressure, flexible, active listening skills. Good judgment and the capability to make sound decisions in a timely manner. Use knowledge of policies and procedures to make decisions in everyday operations including but not limited to student records and registration. Knowledge of modern office practices, procedures, and equipment; correct English usage; basic mathematics. Skills in following oral and written instructions; preparing reports; performing mathematical calculations. CONDITIONS OF EMPLOYMENT: Office hours are Monday-Thursday 8:00 a.m. – 5:30 p.m., Friday 8:00-12:00. Working hours may vary slightly during peak registration times. The hourly salary is at 5A of the staff salary schedule; minimum of $15.73/hour. APPLICATION PROCESS Interested candidates can apply through the college’s website.
