Administrative Assistant SAFETY Employee is responsible for adhering to all safety procedures and regulations established by the Department, the City and all State and Federal organizations. Any safety concern should be reported to a supervisor immediately. JOB SUMMARY This position is responsible for performing administrative and support functions for the Police Chief and/or command staff as requested. ESSENTIAL JOB FUNCTIONS • Provides administrative/secretarial support for the Police Chief and/or Command staff of assigned department/division; relieves staff of routine administrative tasks; screens telephone calls, mail, e-mail, and other communications and initiates appropriate action/response; records and transcribes dictation; types, composes, edits, or proofreads various documentation; maintains calendars and schedules meetings, appointments, interviews, or other activities; and coordinates travel arrangements, accommodations, conference registrations, or related plans for police department staff. •Creates spreadsheets, mail merge documents, correspondence and presentations using Microsoft Office. It is an essential function to have intermediate to advanced knowledge of these programs. •Performs customer service functions in person, by telephone, and by mail; provides information/assistance regarding police department services, responds to routine questions or complaints; researches problems/complaints and initiates problem resolution. •Handles scheduling for command staff, travel arrangements, staff awards, and use of classroom. • Maintains inventory of agency keys, uniform patches, awards, and other expendables as assigned. • Assists with creating department social media releases and other events as requested. • Develops brochures, flyers or other materials when requested. • Processes Personnel Action Forms and routes to Human Resources Director. • Receives, reviews, records, types, and/or distributes documentation; enters data into computer systems; logs, tracks, or maintains records regarding department activities; compiles data for further processing or for use in preparation of department reports. • Handles correspondence related to agency vehicle licensing and registration. • Maintains file system of various files/records for the department; prepares files, organizes documentation, and files documents in designated order; retrieves/replaces files; scans records into computer; shreds/destroys confidential or obsolete documents; conducts records maintenance activities in compliance with guidelines. •Assists with budget or grant preparation; provides budgetary input and reports. Monitors expenditures to ensure compliance with approved budget; processes budget transfers as needed; reconciles records with Finance Department •Processes purchasing documentation; reviews invoices or purchase requisitions and verifies availability of budgeted funds; prepares purchase requisitions and forwards data to appropriate departments; obtains competitive price quotes; orders materials, reviews invoices or other documents for accuracy; researches discrepancies, assigns proper accounting/budgetary codes, obtains proper signatures, and forwards for payment; maintains files and records. •Assists with maintenance of CALEA accreditation as requested. •Maintains fixed assets (new vehicles, tasers, guns, etc.) and disposals. •Provides notary and fingerprinting services. •Serves as back up to co-workers. •Performs other duties as assigned. MINIMUM REQUIREMENTS • High School Diploma or GED. Associates degree or bachelor's degree preferred. •Two (2) years of administrative/secretarial experience in an office setting, to include supporting a Director/Manager, contact with the public and utilizing computers. Prior work in a law enforcement agency preferred. •Any combination of education and experience totaling two (2) years is acceptable. •Must have intermediate skills in Microsoft Outlook, Excel, Word and PowerPoint. Must be able to create spreadsheets, business correspondence and presentations. KNOWLEDGE, SKILLS AND ABILITIES • Experienced with supporting senior management. •Skill in basic accounting and mathematics. •Ability to communicate effectively both orally and in writing. •Intermediate to advanced proficiency with computers and various software programs, to include Word and Excel. •Ability to provide quality customer service, to include handling difficult customers. •Ability to work under pressure, in a fast-paced environment. •Ability to obtain and maintain National Crime Information Center (NCIC) certification. •Ability to become a Notary. PHYSICAL DEMANDS The work is light and requires exerting up to 20 pounds of force occasionally, and up to 10 pounds of force to move objects and the following physical abilities: handling, hearing, lifting, mental acuity, repetitive motion, speaking, standing, talking, visual acuity, and walking. WORK ENVIRONMENT The work is typically performed in an office. Must be able to work special events or late as requested.
